Defiant Sailing Inc. (“Defiant Sailing,” “we,” “us,” or “our”) respects your privacy. This policy explains how we collect, use, and share information through Defiant FleetOps and related sailing-program communications, including email and text messages.

Depending on your participation and the features you use, we collect:

• Account and contact information: name, email address, telephone number, organization membership, and account role.
• Program information: event registrations, availability, crew assignments, training progress, and coach sign-offs.
• Content you provide: chat messages, documents, photographs, race and practice records, debriefs, and maintenance or inspection reports.
• Communication records: invitations, messaging preferences, consent records, opt-out requests, and available delivery information.
• Technical information: information processed by our hosting and service providers, such as IP addresses, browser details, access times, and error logs.

If you upload sailing tracks or other location information, those records may reveal where and when a vessel or participant sailed. Avoid uploading unnecessary personal or sensitive information.

We use information to operate FleetOps, manage access, coordinate sailing activities, assign crew, support training, maintain vessel records, communicate program updates, troubleshoot problems, and protect the service.

We may also retain information needed to meet legal obligations, resolve disputes, and maintain appropriate organizational records.

FleetOps is a shared organizational platform. Depending on their permissions, administrators, managers, coaches, and other members may see information relevant to their organization’s activities.

Messages posted in a club, boat, or event channel are visible to people with access to that channel. Do not treat shared chats or uploaded documents as private communications with Defiant Sailing staff.

If you opt in to Defiant Sailing SMS communications, we may send account invitations, event and training reminders, crew assignment updates, schedule changes, and related operational messages.

Message frequency varies. Message and data rates may apply. Consent to receive automated text messages is optional and is not a condition of purchase or participation.

Reply STOP to unsubscribe from automated texts or HELP for assistance. You may also contact us using the details below. We may retain a record of your opt-out to prevent further messages.

We do not sell, rent, or share mobile telephone numbers or SMS opt-in data and consent with third parties or affiliates for their own marketing or promotional purposes. We may provide necessary information to messaging providers and carriers solely to operate the messaging service, process delivery, and honor your preferences.

When an administrator uses “Text from my phone,” the message is sent through that person’s messaging service. FleetOps does not automatically receive confirmation that the message was sent or delivered.

We use service providers for hosting, authentication, database storage, email, and messaging. Depending on the features enabled, these include Lovable, Supabase, Resend, and Twilio.

We disclose information as necessary to operate these services, comply with legal requirements, protect people and systems, or follow your instructions. We do not sell personal information.

FleetOps may link to or display services such as Sailing Kiwi and SailFlow. Visiting these services or loading embedded content may allow their providers to receive technical information directly from your browser. Their privacy policies govern their handling of that information.

FleetOps uses browser storage to maintain sign-in sessions and certain application preferences. Clearly labeled demo records may remain in your browser until cleared.

We use access controls and other reasonable safeguards, but no system is completely secure.

We retain information for as long as reasonably needed for the purposes described above. Some records, including consent, opt-out, safety, and organizational records, may need to be retained after account closure.

Contact us to request access to, correction of, or deletion of your personal information. We may verify your identity before responding. Deletion may be limited by legal requirements, legitimate recordkeeping needs, or information contained in shared organizational records.

FleetOps is not intended for independent use by children under 13. Parents or guardians should contact Defiant Sailing before creating an account for a child or providing a child’s personal information. If you believe a child’s information was collected without appropriate authorization, contact us.

We may update this policy as our services change. We will post the revised policy with a new effective date and provide additional notice when appropriate.
